Presentation access levels and User groups
Control who can edit a presentation with presentation access levels. Grant or restrict access to best fit the situation.
Presentation access levels
Presentation access levels allow you to determine which users or user groups can edit, share, and view presentations. You can also hide presentations from the workspace. Press the person icon next to the presentation to open the presentation access levels (screenshot below).
Maximum workspace access
You can set maximum workspace access for the entire workspace.
If the max. access level is set to editing (the default), users with editor rights can edit the presentation.
If the max. access level is set to sharing, then users from the workspace can view and share the presentations, but not edit (note the user has to have sharing rights)
If the max. access level is set to viewing, then users from the workspace can view and present it locally, but not share (create Seidat Live or Seidat Link)
Owners of the workspace can edit the presentation access levels freely.
Hidden presentations are hidden from owners, too, but they can toggle the "Show all" button at the top right corner of the dashboard to see all the presentations and edit the presentation access levels.
Direct access
You can overrule the maximum workspace access levels by assigning users or user groups with individual user rights.
If you change the default max. workspace access to sharing, viewing, or no access (hidden), you will be automatically added as an editor, as each presentation must have at least one person to edit the presentations.
Add suitable presentation access levels to all the workspace members.
If you copy a presentation, all the access levels will also be copied.
User groups
User groups can be created in the user's tab
Admins and Owners can create and edit user groups
One user can be in multiple different user groups
If a user belongs to multiple user groups, the access level of a presentation will be determined according to the highest access level.
Example 1: User X belongs to the user groups "Sales" and "Finland." A presentation is hidden from everyone else, but the user group "Sales" has been given viewing access, and the user group "Finland" has editing access. In this case, User X will be able to edit the presentation.
Example 2: User X belongs to the user groups "Sales" and "Finland." A presentation is hidden from everyone else, but the user group "Finland" has been given viewing access. User X is given individual Direct access to edit the presentation. In this case, User X will be able to edit the presentation.
Notes
The access level of images and videos cannot be edited. The images and videos in the workspace are visible to everyone.
Smart slides are visible to everyone, even though they can only be used in hidden presentations.
Workspace owners can see all presentations, even hidden ones, by pressing "Show all" at the top right of the dashboard.
Workspace owners can add user rights to any presentation.
If the users' user rights are lower (sharer or viewer) than editor rights, they cannot edit the presentation, even though the max. workspace access would be editing.
If a user with sole editing rights to a presentation or multiple presentations is removed from the workspace, a pop-up will open asking what actions will be taken to the presentations (you can make them public or assign them to a certain user).
